AI vs Human Call Answering: 2026 Cost and Performance Report

Cost per call for AI receptionists, live answering services and in-house staff, next to what callers want and how often each solves the problem.

Updated: October 2026By: Jared DiamondData: Vendor pricing, BLS, Gartner and SQM

This report compares three ways to answer a business phone in 2026: An in-house receptionist, a live answering service, and an AI receptionist. It puts cost per call next to what callers say they want and how often each option solves the problem, using the newest public data we could verify.

Quick answer: At 300 calls a month, an AI receptionist costs about $0.91 per call, a live answering service about $3.55, and an in-house receptionist about $15.36. But 64% of customers would prefer companies not use AI for service, and 87% say a company using AI must offer a way to reach a person. For most small businesses, the setup that fits both the cost and the caller data is AI for routine and after-hours calls, people for new business.

Basis: Published 2026 prices from 14 live answering services and 11 AI receptionist products; BLS pay and benefit data for receptionists; and caller surveys from Gartner, Five9, Kinsta and Salesforce with samples from 1,011 to 16,585 people. Vendor-paid studies are labeled.
Bar chart comparing cost per call for an in-house receptionist, a live answering service and an AI receptionist at 300 calls a month
$0.91 vs $3.55 vs $15.36Cost per call at 300 calls a month for an AI receptionist, a live answering service and an in-house receptionist. The in-house cost falls as volume rises; the other two barely move.

Table 1: Cost per call, three ways

Monthly cost and cost per call, 2026. In-house uses BLS median pay of $18.27 an hour plus benefits, about $26.59 an hour or $4,609 a month.
Option Cost at 100 calls Per call Cost at 300 calls Per call
AI receptionist (median) $99 $0.99 $274 $0.91
Live answering service (median) $398 $3.98 $1,065 $3.55
In-house receptionist (full time) $4,609 $46.09 $4,609 $15.36

We found three things in this table:

  • AI costs about a quarter of a live service per call. The median AI receptionist runs $0.91 to $0.99 a call, and the median live service $3.55 to $3.98.
  • An in-house receptionist only competes on cost at high volume. At $4,609 a month, the cost per call falls to about $4.61 at 1,000 calls, close to a live service.
  • The in-house hire buys more than calls. Front-desk work, mail and visitors come with the salary, which the other two options don’t cover.

Table 2: What callers say they want

Caller preference surveys, 2024 to 2026.
Finding Result Source and sample
Would prefer companies not use AI for service 64% Gartner, 5,728 customers, 2024
Would consider switching if a company used AI for service 53% Gartner, 5,728 customers, 2024
Say companies using AI must offer a way to reach a human 87% Gartner, 3,566 customers, 2026
Prefer a live human for support 75% Five9, 4,000 US and UK adults, 2024 (vendor)
Prefer a human over AI 93.4% Kinsta, 1,011 US adults, 2025 (vendor)
Say it is important to know if they are talking to AI 72% Salesforce, 16,585 people, 2026

We found three things in this table:

  • Callers don’t refuse AI; they refuse being trapped with it. In 2026, Gartner found 87% want a way to reach a person.
  • Older callers push back hardest. In the Five9 study, 66% of Gen Z wanted a human compared with 86% of Baby Boomers and older adults.
  • Hiding the AI backfires. 72% want to know when they are talking to one, so the greeting should say so.

Table 3: How often each option solves the problem

Resolution and speed benchmarks. Vendor-paid studies are labeled.
Measure Result Source
Calls solved on the first contact, human call centers 71% on average SQM Group, 2026
Callers who hang up before an answer, call center standard 6% SQM Group, 500+ centers
Service issues fully solved by self-service, all channels 14% Gartner, 5,728 customers, 2024
Calls a voice AI agent fully solved, year 1 to year 3 25% to 40% Forrester study paid for by PolyAI, 2025
Delay callers hear before an AI replies 1.3 to 1.7 seconds (median) Telnyx compilation of outside tests, 2026 (vendor)
Calls to small businesses that reached a live person 37.8% 411 Locals, 85 businesses, 2024 (as reported)

We found three things in this table:

  • Humans still solve far more calls. Live centers solve 71% on the first contact; the best published AI voice result is 25% to 40%, and that study was vendor-paid.
  • The biggest gap is not AI against human. It is answered against unanswered: In one small-business study, only 37.8% of calls reached a live person.
  • The pause is noticeable. People take turns in conversation within a fraction of a second, so a 1.5-second AI delay is easy for callers to hear.

Which calls go where

A practical split for a small business, based on the data above.
Call type Best fit Why
After-hours and overflow calls AI receptionist The alternative is voicemail; any answer beats none
Simple questions like hours, location and booking AI receptionist Low risk, high volume, about $1 a call
New customers and sales calls Live answering or in-house Callers want a person, and a lost lead costs far more than $4
Upset callers and complex problems Human, with fast transfer Humans solve two to three times as many calls on first contact

Conclusions

  • Answer every call first, then pick who answers. The cost of a missed call is larger than the gap between $1 and $4.
  • Use AI for volume and humans for value. Route routine and after-hours calls to AI and new business to people.
  • Always give callers a way out. 87% say it is required, and it is the difference between AI that helps and AI that loses customers.

Frequently asked questions

Is AI call answering cheaper than a human?
Yes. At 300 calls a month, the median AI receptionist costs about $0.91 per call, the median live answering service about $3.55, and a full-time in-house receptionist about $15.36 at BLS median pay plus benefits.
Do customers prefer AI or humans on the phone?
Most prefer humans. Gartner found 64% of customers would prefer companies not use AI for service, and in 2026, 87% said companies using AI must offer a way to reach a person.
How often do AI voice agents solve calls?
The best published figure is 25% of calls in year one rising to 40% by year three, from a Forrester study paid for by PolyAI. Human call centers solve 71% of calls on the first contact on average, per SQM Group.
Should a small business use an AI receptionist?
For after-hours, overflow and simple questions, yes: Any answer beats voicemail, at about $1 a call. New customers and complex calls should reach a person quickly.
